Serendipit is looking to hire the perfect Traffic Manager that can keep the work flowing through the agency without a hitch. Job Summary: 

Traffic managers are very organized, and detail oriented. As a traffic manager, you will be expected to lead people and teams under tight deadlines, and will need to be cool under pressure. You should be a people-person, as much of your daily duties will revolve around interaction with different members of each department. You should be good with problem-solving, and also be proficient in traffic management software (Workamajig).

 

Attributes and Responsibilities:

The traffic manager’s job is not an easy one. On any given day, dozens of new projects may need to be scheduled, and it is the traffic manager’s responsibility to keep everything running smoothly, despite the constant changes and demands of the agency. On any given day, the traffic manager will:

  • Meet with the heads of departments to learn about the status of existing projects, and details about new projects coming into the agency.
  • Master schedule workflow management for all tasks for all clients. Create a schedule for new jobs, and assign those tasks using the trafficking system.
  • Review current and future timelines and job statuses with the heads of department, and if necessary, the individuals working on the jobs.
  • Continuous resource loading and workflow balancing across all departments. Reschedule projects based on new or changing priorities. This often happens when clients initiate rush jobs, or the agency becomes involved in a pitch.
  • Maintain balance and flow of information throughout all departments. Report to management about the current workflow, and communicate any possible issues with too much, or too little, work coming into the agency.
  • Work with the accounting and production departments on invoicing, and possible additional costs due to rush fees, or unexpected deadlines.
  • Work with freelancers and temporary contractors, getting them up to speed on jobs they will assist with.
  • Run weekly all team member WIP meetings.

 

Minimum Requirements:
EXPERIENCE WITHIN AN ADVERTISING AGENCY AS TRAFFIC MANAGER IS REQUIRED

  • A proven track record of account management experience and/or team/department leadership experience with experience managing a team.
  • Bachelor’s Degree in a relevant field.
  • Excellent communication skills.
  • High level of organization.
  • Detail-oriented.
  • Solution finder.
  • Strong writing skills.
  • Strong work ethic.
  • Computer Skills: To perform this job successfully, an individual should have above average knowledge and use of MS Office Suite software, especially Excel.
  • EXTENSIVE KNOWLEDGE OF WORKAMAJIG OR OTHER TRAFFICKING SOFTWARE IS A MUST.
  • Professional conduct within and outside the office while conducting agency business.
  • Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

As a Junior Account Executive (PR) for Serendipit, you are responsible for the day-to-day public relations functions for a variety of clients, management of PR coordinators and interns and support to senior team members. You will attend meetings, write press releases, come up with pitch ideas and constantly pitch the media to secure stories, build target media lists, manage reporting, ensure client satisfaction and perform various other tasks as assigned. Your main responsibility is to achieve the goals of each Serendipit PR clients through public relations activities, and to uphold the Agency’s reputation as one of the top PR agencies in the Valley. That means thinking ahead to make sure all client tasks are completed and that senior team members always have the most updated reports, research and ideas about that client’s industry and business. You are a vital part of the organization! We’ll expect a lot from you, including flexibility to meet deadlines and handle extra hours as needed (including the occasional weekend or evening client TV spot or event) as well as the ability to work very well under pressure and to handle client needs, even if they have unreasonable demands or expectations.

 

Your daily duties as a JR. Account Executive (PR) are to oversee and execute on new and existing accounts. You will be given specific clients to work on day-to-day, but you will also be thrown into other projects as needed. You will have direct client interaction on many of the accounts you handle the daily PR for, and on other accounts you may work through a senior team member who handles the client interaction.

Essential Duties Include:

  • Independently managing and executing the day-to-day PR efforts for 4-6 retainer clients (depending on retainer scope/size) and a variety of “project” clients and assisting with a number of other larger PR clients with senior team members
  • Meeting or exceeding internal and external client KPIs on a weekly basis.
  • Drafting PR plans and setting goals for each client; ensuring that each month, our tactics and results are evaluated against those goals to make sure we are on target
  • Attending client meetings, taking notes and assigning/managing tasks in Intervals based on the notes
  • Create monthly PR report for all of your PR clients each month (sent to client by 5th of the month for the month prior); also compile and/or send “Weekly Recap/Wins” e-mail every Friday.
  • Writing press releases and media pitches, and coming up with new, creative ways to tell our client’s stories
  • Pitching the media on a daily basis! Local, regional, national, trade – you name it!
  • Be “in the know” of what media is covering our clients, and always make sure the TML is up-to-date
    • Send changes to Interns/Coordinators and do periodic checks to ensure all contacts are perfect
  • Find all clips that mention or relate to our clients
  • Coordinating events and overseeing events through completion
  • Development of Interns & Coordinators on a daily basis:
    • Managing overall organization of PR “area” in the office – including client clips, clip books, newspapers, magazines, etc.
    • Ensuring all PR reports are updated by Interns or Coordinators (clip book, editorial report).
    • Assigning writing tasks (pitches, press releases) and reviewing/editing all work.
    • Training on pitching media.
    • Management of Target Media Lists
  • Staying on top of PR trends
  • Maintaining current Google Analytics certifications

 

Minimum Requirements:

  • BS/BA in Public Relations or related field
  • 1-2 years experience in full-time public relations position (agency experience preferred)

This leadership position is responsible for the growth and maintenance of agency accounts. This position will directly manage approximately 6+ accounts and teams associated. The ideal candidate for this position will possess a variety of analytical and written / verbal communication skills. In addition, the candidate should have excellent follow through, organization, ability to prioritize, attention to detail, creative resourcefulness, and the ability to work independently is a must. Experience working behind the scenes developing strategic marketing plans and the ability to implement plans is key to the success of this position.
